Terms & Conditions


It is important to be aware of as well as understand that there are significant differences compared to Western countries regarding car insurances and responsibility in case of damages. For example, in most of the Southern African countries such as Namibia and Botswana, it is not compulsory to have any car insurance. This means, that the majority of the cars do not have any insurance at all and that the owners and/or car users are personally responsible for any damages and compensation in case of an accident or damages. Each vehicle with a valid license is covered for 3rd party insurance and we have a very comprehensive Motor Vehicle Accident fund which also cover visitors to Namibia.



  • The Hirer undertakes to return the vehicle and camping equipment (if any) in the same condition as received.
  • Vehicles are insured against accidents and theft
  • Insurance excludes windscreen and headlamp breakage, sandblasting, fuel, tyres, water damage, under-carriage damage and loss of personal property. If tyre and windscreen insurance waiver is purchased, then no charge for same will be applicable limited to maximum 2 tyres.
  • Theft: An excess amount between Zero and N$50,000 (Depending on waiver option) will be payable should a vehicle be stolen.
  • The Hirer will not hold the Owner responsible for any deaths or bodily injury to the Hirer and/or any third party during the period of the rental agreement.
  • Should the Hirer wish to take the vehicle outside the territory of Namibia an excess payment between Zero and N$50,000 (Depending on waiver option). The Hirer will be responsible to hand over the ignition keys of the stolen vehicle and report the incident to the owner as well as the nearest police station within 24 hours. Failing to do so, the Hirer will be held responsible for the full amount required to replace the vehicle.
  • Please take note that the vehicle or its components or camping equipment is NOT INSURED AGAINST THEFT IN THE TERRITORIES OF ZAMBIA AND ANGOLA. Should the vehicle or its components or camping equipment be stolen in Zambia or Angola, the Hirer will be kept responsible for the full replacement amount of the vehicle and camping equipment.
  • Accidents and damage: The Hirer will be responsible for the excess payment if a vehicle is damaged in an accident to a maximum amount between Zero and N$50,000 (Depending on waiver option). Should damage to the vehicle be less than excess the Hirer will be responsible for the lesser amount only.
  • Should the Hirer wish to take the vehicle outside the territory of Namibia an excess payment between Zero and N$50,000 (Depending on waiver option) is applicable.  The Hirer should take note that the vehicle will remain his/her responsibility right up to the point where it is handed over to a service provider appointed by the latter also being applicable with regards to returns of the vehicles as well.
  • The full excess as decided upon, is payable as a deposit before the vehicle is collected or delivered
  • The excess amount is refundable to the Hirer upon return of the vehicle and after any other charges that may be
  • The Driver/Hirer must provide a valid and unendorsed driver’s license in English. If not available in English, an International driver’s license should be provided.
  • All drivers must be 23 years of age or older 



  • The vehicle may not be used to tow any other vehicle or trailer/caravan, to transport any goods or passengers at remuneration, in any motorsport, in any water pools or salt pans or below the high tide water mark.
  • The vehicle may not be used to drive through swamps, rivers or during sandstorms.
  • The vehicle is not allowed on any unauthorized routes: The Van Zyl’s Pass, the Kaudom National Park and other routes indicated by the Owner that may differ from time to time.
  • In the case of negligence, the Hirer will be responsible for the ENTIRE amount to repair the vehicle as our insurance does not cover this.
  • Vehicles may not be taken outside the territory of Namibia without prior written approval of the Owner.
  • Negligence is regarded as follows:
    • Water damage of any kind to the vehicle – engine, interior, under carriage or camping equipment.
    • Unauthorized driver driving the vehicle.
    • An accident, damage or loss was not reported to the police and Crossroads 4X4 Hire within 24 hours.
    • Driving under the influence of alcohol or any other illegal substance.
    • Reckless driving or driving on roads unsuitable for the vehicle.
    • Dune driving or driving on an unauthorized route.
    • Driving the vehicle outside the borders of Namibia without prior consent of the Owner and without a Cross Border Authorization in writing from the Owner.
    • All damage to the undercarriage, clutch and other mechanical or electrical parts due to excessive use, (or driving in deep water, getting the vehicle stuck in mud or attempting extremely rough roads) will be paid for by the Hirer.
    • Disregarding the official speed limits and exceeding 80 km/hour on the gravel roads.
    • Not maintaining a safe following distance on tarmac as well as on gravel roads.
    • Stopping on any thorough fare, road surface – e.g. to take a photograph.
    • Backing up into any obstacle or other vehicle.
    • Overturning the vehicle when no other vehicle is involved
    • Driving the vehicle in a rural area before sunrise or after sunset.
    • Disobeying any traffic rules, e.g. driving on the wrong side of the road, skipping a red traffic light or stop sign, etc.



  • Breakdowns and technical malfunctions: In case of a breakdown, Crossroads should be contacted immediately to organize a speedy repair of the vehicle by a Crossroads-appointed service provider. Should we be unable to repair the vehicle, a replacement vehicle will be sent within 48 hours. No refunds will be given to any Hirer if an unauthorized service provider attempted to or worked on the vehicle. 
  • Should any technical malfunction occur, Crossroads should be informed immediately. No refunds will be given to the Hirer if Crossroads was not informed and given the opportunity to remedy.
  • In the case of a vehicle break-down/accident outside the Borders of Namibia, the Hirer will be responsible to recover the vehicle to the nearest town in Namibia at his own cost.
  • Should a Group B vehicle be driven outside a radius of 400 km from Swakopmund (or via tarmac to the Etosha Game Park) and a breakdown or accident occur, the Hirer will be responsible for the recovery costs of the vehicle back to Swakopmund as well as the repair of the vehicle. The Hirer is obliged to inform Crossroads in writing of any deviation on the original travelling route, stipulated on the rental agreement.



  • Our rates include maintenance, VAT, insurance of the vehicle (excluding the excess payment), unlimited kilometres but excludes delivery and drop-off fees, fuel, windscreen, tyre, rims, water and under carriage damage. Should the renter opt for additional tyre and windscreen insurance, tyres and windscreen damage will be covered.
  • Full payment to be made prior to vehicle delivery / upon collection at depot
  • Payments are accepted by Cash, Electronic Funds Transfer or Mastercard and VISA Credit Cards only
  • Negotiations of current rates will only be considered upon written proof of better proposals received by other rental companies
  • The Owner reserves the right to substitute vehicles – should the booked vehicle not be available.
  • Extensions of rentals might be possible if notified 48 hours in advance.
  • 25% Non-refundable deposit due on confirmation of booking.
  • All rentals are calculated on a 24-hour basis with a 1-hour grace period on the day of return. Should you not return the vehicle as agreed upon and without any confirmed extention a further days rental will be charged as well as a penalty of N$1,500,00.
  • If the vehicle is brought back excessively dirty, a valet fee of N$1,500,00 will be applicable. We do not allow smoking in our vehicles or tents.
  • The Hirer acknowledges the fact that the vehicle is fitted with a tracking system, updating GPS co-ordinates and various other functions of the vehicle during the rental period.
  • Should the hirer not adhere to the terms and conditions of this agreement, he/she will be liable for the total replacement cost of the vehicle and its extra’s. Camping equipment damaged, destroyed or lost will also have to be replaced.
  • Traffic fines are for the Hirer’s own account and shall be charged to your credit card if the fines are not settled prior to leaving Namibia.



  • You will not be charged for a cancellation provided you have notified us 30 days in advance. Cancellations done between 30 and 14 days before the confirmed pick up date will attract a cancellation fee of 25%. Cancellations done less than 14 days in advance will attract a cancellation fee of 50%. No refunds will be made for cancellations made during the rental period as well as early terminations and the credit will be kept on record for you.
